Position Objectives:

City of West Bend is accepting applications for a full-time Assistant Deputy Clerk.  The Assistant Deputy Clerk is responsible for management of all issued licensing functions of the department, assisting with all aspects of elections under direction of the City Clerk, agenda packets and minutes, attending meetings as requested, providing customer service to the public, assisting in general clerk duties, performs notary public duties, and records retention.

Duties and Responsibilities:

  • Accepts incoming license applications and ensures all applications are complete;
  • Administers and processes licenses using the licensing software;
  • Performs all necessary activities associated with local, state, and federal elections;
  • Assist with the receipt documentation of objections and findings, meeting preparations and taking minutes for the Board of Review as required;
  • Ability to be back up for additions and changes within the city agenda software by possessing general background knowledge of the system;
  • Support coordinating, preparing and posting agendas, minutes, resolutions, proclamations, ordinances and other documents for consideration by the City Council, Committees, Boards and Commissions as needed;
  • Assists with processing purchase orders and invoices for the Office of the City Clerk as needed. Assists with maintaining the invoice data spreadsheet to prepare for the yearly budget;
  • Maintains the Departments website. Ensures all meetings are listed on the calendar;
  • Monitor document flow ensuring all contracts, agreements and other documents are finalized and filed as required;
  • Creates notices and or letters to voters, businesses, appointees, and residents under the direction of the City Clerk;
  • Maintain and file records for elections, boards and committees, licensing, and general city files;
  • Perform special projects and research as requested and required

Minimum Requirements:

Minimum Training and Experience Required to Perform Essential Job Functions

  • Associate’s degree with preferred two years’ experience in a municipal setting.
  • Additional experience with computers, general clerical and customer service.  
  • Election experience desired. 
  • Ability to become certified as a Notary. 
  • MCT Core Curriculum Training in WisVote or ability to complete the training.  
  • Possess knowledge of current licensing laws and procedures or willingness to learn. 
  • Wisconsin Certified Municipal Clerk Certification through the Wisconsin Municipal Clerk Associate is desirable.
